Introduction
Waide Academy is a project of The Waide Company LLC (“The Waide Company,” “we,” “us,” or “our”). This Policy explains how we collect, use, disclose, and protect personal information through:
It does not govern Waide account signup, email-and-password authentication, or general billing on account.thewaidecompany.com. That is covered by The Waide Company Privacy Policy.
This Policy supplements the company Privacy Policy. Where this Policy addresses Academy-specific information collected on the hosts below, this Policy controls.
The Academy is intended for users in the United States. If you access it from elsewhere, your information may be processed in the United States.
We do not sell personal information. We do not use Academy hosts covered here for targeted advertising, ad pixels, or behavioral tracking inside the Academy application.

1. Information Collected on the Account Portal
When you create a Waide account, purchase Academy access, or enter Cadet profile details in your profile on account.thewaidecompany.com, that collection is described in The Waide Company Privacy Policy.
This Policy covers information collected on waideacademy.com and inside the Academy application, including the dialogue, progress, and gameplay data generated when a Cadet uses app.waideacademy.com.
2. What We Collect
Depending on how you use the hosts covered by this Policy, we may collect:
- Academy marketing site (waideacademy.com): waitlist submissions such as parent or guardian name, optional child name, email address, and how you heard about us; plus limited technical data needed to operate the page
- Cadet profile fields you later use in the Academy app (such as name, age, and lesson context), which may have been first entered through your Waide account as described in the company Privacy Policy
- Academy application (app.waideacademy.com): dialogue messages and AI-generated mentor responses, full dialogue transcripts, lesson progress and completion, lesson scores, decisions during lessons, Compass and Campaign entries, journal entries, time in the Academy, feedback, and survey responses
- Technical and security data for the Academy app: login activity, session identifiers, IP address, browser or device information, timestamps, error logs, security logs, and related usage records
3. How We Use Information
We may use Academy information to provide and secure the Academy, generate and display AI mentor dialogue and spoken audio, track progress, show records to an authorized managing account holder, maintain historical learner records, support future participation, improve lessons and mentors, evaluate quality, conduct internal analytics and research, maintain security, detect misuse, provide support, comply with law, and develop future products.
Where appropriate, we may use de-identified or aggregated information that can no longer reasonably identify an individual learner.
4. AI and Text-to-Speech Providers
The Academy uses service providers to generate AI mentor dialogue and spoken audio.
When a Cadet submits a dialogue message, we may send limited information to an AI service provider. This may include the Cadet’s message, the current lesson context, the Cadet’s name, and the Cadet’s age.
The generated mentor response may be sent to a text-to-speech provider to create spoken audio. That provider does not need the Cadet’s full profile to generate audio, but the spoken content may reflect information in the mentor’s response.
We may change providers or technical settings over time. Providers receive information only as reasonably necessary to perform services for us or as otherwise permitted by law.
5. Guardian Access and Internal Review
A managing account holder may view records for a Cadet they manage, including full dialogue transcripts, Compass and Campaign entries, scores, curriculum progress, completion records, and time in the Academy. Login activity and beta feedback may be kept internally and not shown in the Guardian dashboard.
A Cadet on a Guardian-managed profile should not treat Academy submissions as private from that Guardian.
Authorized personnel may review Academy records for mentor-quality evaluation, lesson improvement, product development, internal research, troubleshooting, safety review, customer support, security, and misuse investigation. Academy conversations are not monitored by humans in real time.
6. Children Under 13
A child under 13 may not create a Waide account. A parent or legal guardian must create and manage the Cadet profile through account.thewaidecompany.com.
Before we collect personal information from a child under 13 through the Academy, we require the parent or legal guardian to:
Parents and legal guardians may contact admin@waidecompany.com to review, correct, or delete a child’s information, revoke consent, or refuse further collection or use. Revocation or deletion may limit or end the child’s Academy access.
- Receive a direct notice describing our information practices
- Complete the required verification process
- Provide consent to the collection, use, and disclosure of the child’s personal information
8. Retention, Security, and Requests
We retain identifiable Academy information as long as reasonably necessary to provide the Academy, preserve educational records linked to an active Waide account and Cadet profile, support future participation, transfer historical records to a learner’s own Waide account where appropriate, maintain security, resolve disputes, and meet legal obligations. When no longer needed, we delete or de-identify it, subject to backups.
We may retain de-identified or aggregated information longer for research, analytics, and product improvement.
We use reasonable safeguards, but no system is perfectly secure. Account holders and Cadets should protect credentials and notify us promptly if they believe credentials have been compromised.
Email admin@waidecompany.com to request access, correction, deletion of a Cadet profile or related Academy information, transfer of a historical learner profile where appropriate, help with a privacy question, or revocation of parental consent. We may verify identity and authority. Some information may be retained where required for law, security, fraud prevention, recordkeeping, or disputes.
Residents of some U.S. states may have additional privacy rights. We do not sell personal information or use it for targeted advertising as defined by those laws.

Links to the Waide account portal or third-party services are governed by their own policies.
We may update this Policy with a revised “Last Updated” date and provide additional notice when appropriate or required.
